一、英文信件写作的注意事项

1、自然

即见什么人,说什么话。跟初次见面的客户和供应商沟通,或跟上司沟通,语气要恭敬,语言要正式,如It would be greatly appreciated if you could…。跟同事之间沟通工作事宜,可以采用semi-formal(半正式)的语言风格,关于聊工作本身的事情,可以相对正式,其他方面可以随意一些。如果是朋友之间的信件,可以随意些,如hi, I hope you are doing well. Thanks a lot.

2、开门见山

在正文第一句(或第一段)就要亮明写作目的,不要让读者去猜。亮明目的的好处是让读者带着主动性或者兴趣读下去,去探索你接下来的细节是什么。中国人的传统思维往往是迂回式的,先把各种detail抖出来,最后才绕道重点。这种思维在写英文信件中要避免,直接切入主题才符合老外的思维。例如抱怨信开头可以写:

Dear Sir or Madam:

I am writing to express my dissatisfaction with the internet connection provided by your company in my area.

感谢信开头可以这样写:

Dear Mr. Smith,

I am writing to thank you for giving me an opportunity to work as an editorial assistant at Alpha Books. It was a most rewarding experience and I certainly enjoyed working with well-known writers and editors.

3、把话讲清楚

信件正文部分才是重点,要让读者明白发生了什么,中间可以带入自己的感受。所以它跟议论文不同,不是考你的批判性思维,难度大大降低。大家小时候都写过记叙文吧,六要素还记得吗?时间、地点、人物、起因、经过、结果。不过在英文信件中顺序是可以换的。时间地点人物和事件是可以融合在一起的,经过和结果如呈现因果关系,也可以把结果先提上来写。例如:

I just received a letter from one Mr Mathews (人物)who is a valued customer of ours.(背景句) He purchased a Canon DSLR camera from our online store(地点)last Monday(时间).(起因) The next day(时间), we shipped the item through your express delivery service.(经过) But unfortunately he is yet to receive his shipment (结果)and that is kind of surprising (我们的感受)because on your website you have clearly stated that all domestic shipments will reach their destination within 48 hours of shipping(解释感受的原因). As you can see, over six days have already passed since the item was shipped.(强调结果的严重性)

4、提出诉求

事情讲完后,你需要提出自己的想法,例如渴望早点见到某人,希望对方给予什么样的合作等等。接上面的例子,我们可以提出以下的诉求:

We take great pride in the quality of our customer service andwould like an explanation as to how this delay happened because it has put our reputation at stake.

I would be most grateful if you would reply as soon as possible so that this matter can be resolved to everyone’s satisfaction.

5、注意基本的写信格式

如一般来说用齐头式比较清楚,每一段之间空一行。称呼一般用Dear Mr./Mrs./Miss某某(姓),如果写给朋友,就写Dear 某某(名),写给某个机构,可以写Dear Sir/Madam, 或更正式的用To whom it may concern。结尾一般会加上Yours sincerely。下一行再署名。
